Step 1 · Getting started

Registering as a vendor

Everything starts with a simple registration form: enter your company details, business registration information and a contact person, and submit. There's nothing to install and no setup fee — the whole application happens in the browser.

Once your application is reviewed and approved, your business has a live storefront in front of the enterprise buyers already purchasing on Lapasar — without building a single page yourself.

How registration works

  1. 1Invited or self-registered

    You can be nominated by a client and receive an invitation email — or self-register by clicking "Become a Supplier". Returning vendors use "Supplier Login".

  2. 2Apply with your business details

    Fill in your business details and upload your SSM certificate at the bottom of the application form.

  3. 3Credentials arrive by email

    Login credentials are sent by email — no separate registration step. Forgot your password? Self-service reset is available any time from the login screen.

Haven't received your invitation email, or a reset link isn't working? That's one of the few moments to contact support — the rest of onboarding is self-serve.

Step 2 · Getting started

Logging in to the portal

Signing in takes you straight to your vendor dashboard — the single place where your catalogue, orders, quotes, promotions and payments all live. No juggling spreadsheets, email threads and WhatsApp chats to run your B2B sales.

The dashboard is where you'll start every day as a Lapasar vendor: check new orders, respond to quote requests, and see how your products are performing at a glance.

Your catalogue

Uploading products

Your products are your storefront. The portal lets you add each SKU with its name, images, description, wholesale pricing and stock level — and bulk tools mean a large catalogue doesn't take days to digitise.

Every product you upload becomes searchable by procurement teams across the marketplace, so a complete, well-described catalogue directly translates into more orders. The onboarding team can help you map and upload your first catalogue.

Listing products & setting prices

  1. 1One at a time or in bulk

    Use "Suggest a Product" for a single new item, or submit your full price list as Excel or PDF under My Catalog — the Lapasar team uses AI to clean and format it. Bulk submissions are reviewed within 1–2 business days.

  2. 2Set your quote details

    For each product: your unit cost in MYR (your wholesale price to Lapasar — not what the client sees), MOQ and lead time, the Malaysian states you deliver to, and a Valid Until date for your quote.

  3. 3Quote inside the suggested range

    Lapasar shows a competitive suggested price range per product — quoting within it boosts your order chances. You can edit prices any time; changes go to Lapasar for approval.

Multiple vendors can quote the same product — the client chooses who to order from, so complete listings and sharp quotes win orders.

Trust & credibility

Getting verified with badges

Enterprise buyers compare vendors before they order — and verification badges are what set a credible supplier apart. Submit your business documents and certifications through the portal to earn badges that appear beside your products everywhere buyers see them.

Verified vendors stand out in vendor comparisons and win more of the orders where a buyer is choosing between similar offers. It's the highest-leverage few minutes you'll spend in the portal.

Getting verified

  1. 1Upload your bank header

    Once logged in, go to the Get Verified page and upload your bank header (PDF, JPG or PNG) — this is what gets you paid correctly.

  2. 2Reviewed in 1–3 business days

    If something's missing, the team emails you with exactly what's needed.

  3. 3Keep documents current

    An expired registration or bank document doesn't stop you listing, receiving orders or delivering — but payments are held until valid documents are back on file. Renew proactively on the portal.

Fulfilment

Shipping settings

Shipping settings tell buyers exactly what to expect: the areas you deliver to, your lead times and any delivery charges. Buyers see this information when they compare vendors, so accurate settings prevent surprises on both sides.

Set it up once and every order that comes in is one you can actually fulfil, on terms you've already defined — no back-and-forth about whether you deliver to a site or how much it costs.

Configuring your shipping settings

  1. 1Open Shipping Settings

    Navigate to Shipping Settings from the left navigation menu.

  2. 2Select your delivery coverage

    Choose the Malaysian states and areas you deliver to — buyers see this when comparing vendors.

  3. 3Set lead times and delivery charges

    Enter how many days you need to fulfil orders and any delivery charges that apply.

  4. 4Keep it current

    Review and update your settings whenever your coverage or rates change — accurate settings ensure every order you receive is one you can fulfil.

Selling

The order page

The order page is where enterprise demand lands. Every purchase order from a verified corporate buyer appears here the moment it's raised, with the items, quantities, delivery details and status all in one view.

As you confirm, pack and deliver, you update the order status so buyers always know where things stand — and a clean delivery record feeds directly into getting paid on time.

From order to proof of delivery

  1. 1Open the order

    You're notified when a client places an order — check the Orders tab, filter by status, and click the PO number or 'View' to open the order detail.

  2. 2Download PO & DO, then dispatch

    Download Lapasar's purchase order first, then print the Delivery Order (DO) to execute the delivery. Once goods are on the road, press 'Mark Dispatched'.

  3. 3Ship each item with tracking

    Select the courier, enter the tracking number and mark each line item as Shipped — or, if you deliver yourself, use Lapasar's DO as your dispatch record.

  4. 4Upload the signed DO as your POD

    The client signs and stamps the DO on receipt — upload it per item, or use 'Bulk POD' to cover the whole order with one document. AI reviews it the same day; unclear PODs go to a human reviewer and you can resubmit anytime.

Valid proof of delivery = Lapasar's signed and stamped Delivery Order only — photos or other documents aren't accepted. Need to correct an order after accepting it? Contact support.

Winning new business

The RFQ area

When a buyer needs something — from a hand-typed list or a Rapidsource request built from a photo or spreadsheet — matching vendors receive it as a request for quotation. The RFQ area lists every request you can quote on, with the items, quantities and the buyer's target.

Respond with your price and lead time and the buyer sees your quote in real time. It's inbound demand you'd never reach with cold outreach: buyers who are actively ready to purchase, asking you to name your price.

  1. 1Matching RFQs land in your inbox

    When a buyer needs something — from a hand-typed list or a Rapidsource request built from a photo or spreadsheet — matching vendors receive it as an RFQ. Check your RFQ area regularly.

  2. 2Review the request

    Open a request to see the items, quantities and the buyer's target price.

  3. 3Submit your quote

    Enter your price and lead time and submit — the buyer sees your quote in real time.

  4. 4Buyer orders directly

    If the buyer accepts your quote, the order comes through automatically — no back-and-forth required.

Respond quickly — these are buyers who are actively ready to purchase and are waiting on vendor quotes.

Winning new business

The reverse bidding area

Buyers can open a live reverse bidding session on an order — inviting vendors to compete on price in real time. The reverse bidding area shows the sessions you've been invited to, the current best bid, and where your offer stands.

Bid as low as your margins allow and you can walk away with the whole order. Even when you don't win, you see exactly where the market is pricing — intelligence most suppliers never get.

Competing in a live bidding session

  1. 1Receive your invitation

    When a buyer opens a bidding session on an order, invited vendors are notified. Open the reverse bidding area to see the sessions you've been invited to.

  2. 2Review the session

    See the items up for bid, the quantities, and the current best bid so you know where the competition stands before you place your first offer.

  3. 3Place your bid

    Submit your price — you can rebid as the session progresses, as low as your margins allow. Each bid is visible to the buyer in real time.

  4. 4Win the order or gain market intelligence

    If you win, the order is yours. Either way, you see exactly where the market is pricing — intelligence most suppliers never get from their distributor networks.

Growing sales

Setting product promotions

Promotions let you discount selected products for a period you choose. Promoted prices are visible to buyers browsing and comparing — an immediate lever when you want to move stock, defend a key account or win a category.

Because you set the products, the discount and the dates yourself in the portal, you stay in full control of your margins while still competing hard where it counts.

Running a product promotion

  1. 1Open the promotions area

    Navigate to Promotions from the left navigation and select the products you want to discount.

  2. 2Set your discounted price

    Enter the promotional price (or percentage off) per product — you stay in full control of your margins.

  3. 3Choose your dates

    Set a start and end date for the promotion. The discount runs automatically for the full period.

  4. 4Promoted prices go live

    Your discounted prices are visible to buyers browsing and comparing vendors for the duration of the promotion — an immediate lever to move stock or defend a key account.

Insight

Sales analytics

The sales analytics area turns your order history into decisions: which products move, how revenue is trending, and where demand is coming from. It's the visibility a distributor network never gives you.

Use it to price sharply, double down on the SKUs that perform, and spot slowing lines before they become dead stock — the same data-driven selling your enterprise customers practise on their side.

Reading your sales analytics

  1. 1Check your revenue trend

    Open Sales Analytics to see how your revenue is tracking over time — spot growth or dips before they affect your operations.

  2. 2Find your best-performing products

    See which SKUs are selling most — use this to decide where to focus your stock, pricing and promotion efforts.

  3. 3Understand where demand comes from

    Drill into buyers, categories and regions to see where your orders originate — the visibility a distributor network never gives you.

  4. 4Act on the data

    Price sharply on high-demand lines, double down on top performers, and flag slowing SKUs before they become dead stock.

Getting paid

Statement of account

The statement of account lists every transaction between you and Lapasar: orders delivered, invoices raised, payments made and the balance outstanding. Reconciliation stops being a month-end scramble.

Combined with Lapasar's fast payment cycles, this is how you keep cash flow predictable — you always know what's been paid and what's due, without chasing anyone.

How you get paid

  1. 1Upload your invoice

    Once an order is Delivered, upload the invoice against that PO in Statement of Account. Invoices are processed in the order they're submitted — first submitted, first paid.

  2. 2Payment is scheduled automatically

    Once your proof of delivery is approved, payment is scheduled automatically. Payment requests close at 1pm daily for the next-day payment cycle, and payments go by bank transfer to the account on your bank header.

  3. 3Need cash sooner?

    Rows tagged 'Eligible for Early Payment' can request early payout right from this screen — standard terms are 30 days from invoice, and a prompt-payment discount applies to invoices paid early.

Track every payment in real time and download your payment slip once paid. If a payment is overdue beyond the expected schedule, or your bank details change, contact support.
