How the e-procurement ROI calculator works

Approving a procurement platform is a budgeting decision, and budgeting decisions need a number attached. This tool builds that number from two benefit streams that behave very differently. Price savings come from the spend itself: once fragmented indirect purchasing is pooled and made visible, you buy the same items at keener prices. Process savings come from the workflow: every requisition, approval and purchase order that runs through a structured digital path costs less to administer than the same step handled over email and spreadsheets.

The calculator applies your price-saving assumption to annual indirect spend, applies your process-reduction assumption to the current cost of raising your purchase orders, and adds the two. It then subtracts the annual platform and change-management cost to give a net benefit, an ROI multiple and a payback period in months. What does an e-procurement ROI calculation include?

It weighs two benefit streams against the cost of running the platform. The first is price savings — buying the same items at keener prices once spend is consolidated and made visible. The second is process savings — the admin time you claw back when requisitions, approvals and purchase orders move through a structured digital flow instead of email and spreadsheets. Subtract the annual platform and change-management cost from those two streams and you have the net benefit.

How is the ROI multiple worked out?

The ROI multiple divides net annual benefit by the annual platform and change cost. A multiple of 3, for instance, means every ringgit spent on the platform returns three ringgit of net value in a year. Because it is a ratio, it lets you compare the return on this initiative against other calls on the same budget.

What is a realistic price-saving percentage for indirect spend?

For indirect and tail spend — office, pantry, IT, facilities and MRO — a low single-digit percentage of consolidation savings is a sober planning assumption, because these categories are usually fragmented across many small suppliers with little price scrutiny. How should I read the payback period?

Payback is the number of months of net benefit needed to recover a full year of platform cost.
