Once quotes come back, the hard part is judging them on the same terms — different suppliers include different things, split delivery and tax differently, and rarely quote in an identical layout. A quotation comparison template puts each quote into the same columns, normalises the totals and applies weighted scoring so lowest price no longer wins by default. This free Excel tool does the arithmetic for you: enter each supplier's prices and terms, weight what matters, and the sheet ranks the quotes on total landed value.

Comparing like with like

The trap in quote evaluation is comparing headline figures that aren't equivalent. One supplier bundles delivery; another adds it later. One quotes ex-tax; another includes it. The template forces every quote into the same structure so the total landed cost — not the eye-catching subtotal — drives the decision.

Beyond price, it captures the terms that carry real cost: lead time, warranty length and payment terms. A quote that is marginally cheaper but demands payment up front and offers a shorter warranty may be the worse deal once those factors are weighted.

Filling in the comparison

Populate the sheet as quotes arrive:

  • Paste each supplier's unit prices against the shared item list.
  • Enter tax, delivery and any charges so the landed totals compute automatically.
  • Set the weighting for price, lead time, warranty and terms to reflect your priorities.
  • Note any exclusions or assumptions each supplier attached to their quote.
  • Read the ranked overall score and record the reason for your final choice.

Getting a fair comparison

Give suppliers the same specification and the same response format before they quote, so the comparison starts on level ground. Always convert to total landed cost before ranking, and keep the completed sheet as the audit record behind your award. Where a higher-scoring quote is not the cheapest, note why the added value justified the difference.
